This notice explains how Markivis Private Limited ("Markivis", "we", "our", or "us") collects, uses, stores, shares, and protects your personal data when you apply for a job with us, are referred to us as a candidate, or are sourced by us through professional networks.

We are committed to processing your data lawfully, transparently, and only for the purposes described below.

For the purposes of the Digital Personal Data Protection Act, 2023 ("DPDPA"), Markivis is the Data Fiduciary in relation to the personal data we collect about job applicants and candidates.

What Personal Data We Collect 

When you apply for a role with us, are referred to us, or interact with our recruitment process, we may collect the following categories of personal data about you:

Identity and contact information: Full name, email address, phone number, current location, willingness to relocate, photograph (if included on your resume).

Professional information: Resume or CV, employment history, education history, certifications, professional links (LinkedIn, Behance, GitHub, Dribbble, personal portfolio), languages spoken, awards or publications you have shared.

Skills and assessment information: Self-rated skill proficiency provided through our candidate self-assessment, assignment submissions, and any work samples you share with us.

Compensation information: Your current Cost-to-Company (CTC) and expected CTC, notice period, and earliest joining date — only if you choose to share these.

Interview information: Notes, ratings, feedback, and recommendations recorded by Markivis interviewers about your candidacy.

Communication records: Emails, calls, and messages exchanged with us during the recruitment process.

Source information: How we came to receive your application — for example, through a referral, our public application form, a job portal like Naukri or LinkedIn, or direct sourcing.

We do not intentionally collect: government identifiers (Aadhaar number, PAN number, passport number), bank account information, biometric data, health records, or other sensitive personal data, unless these are voluntarily included in your resume by you. If your resume includes such information, we recommend redacting it before submission. We will treat any such information that does reach us with appropriate confidentiality and minimise its retention.

Why We Collect Your Data — Purposes of Processing

We process your personal data only for the following purposes:

  • To evaluate your suitability for current open roles at Markivis
  • To consider you for future relevant roles, where you have consented to be retained in our talent pool
  • To communicate with you about your application and the recruitment process
  • To conduct interviews, assessments, and reference checks (where applicable)
  • To make hiring decisions and, if you are selected, to issue offer documentation
  • To maintain records required for our internal recruitment governance and audit trail
  • To comply with applicable employment, tax, and corporate laws
  • To improve our recruitment processes through internal analysis (in aggregated, non-identifiable form only)
  • Anthropic, Inc. (Claude API) — to assist with parsing the contents of your resume into structured fields and to support our internal recruitment workflows. Resume content may be transmitted to Anthropic's systems for processing. Anthropic processes this data under its own privacy commitments and does not retain submitted content for model training when accessed through its commercial API.
  • Microsoft Corporation (Microsoft 365) — for our email systems, including the recruitment inbox where applications are received.
  • Cloud and infrastructure providers — for secure storage and hosting of our internal recruitment system.
  • If you are hired by Markivis: Your recruitment data becomes part of your employee record and is retained in line with our employee data retention policy and applicable labour laws.
  • If your application is unsuccessful: We retain your data for up to 24 months from the date of decision, after which it is deleted. This period allows us to keep context if you re-apply or if a similar role opens up.
  • If you join our talent pool with consent: We retain your data for up to 24 months from your last meaningful engagement with us (an application, an updated profile, or a response to our outreach). After this, we will either invite you to refresh your data or delete it.
  • If you withdraw your application or your consent: We will close your candidature and process your data for deletion within 30 days, except where we are required to retain limited information for legal or audit reasons.
  • Access controls limiting who within Markivis can view your data, with stricter limits on sensitive fields like compensation
  • Encryption of data in transit between your device and our systems
  • Audit logging of access to sensitive information
  • Secure storage with regular backups and tested recovery procedures
  • Vendor due diligence on service providers handling your data
  • Staff training on data protection and confidentiality

We will not use your personal data for any purpose unrelated to recruitment without obtaining your consent.

Legal Basis for Processing

Under the DPDPA, we process your personal data on the basis of the consent you provide when you submit an application or otherwise share your data with us for recruitment purposes. By submitting an application through our public form, by sending your resume to us by email, or by completing a candidate self-assessment, you consent to the processing of your personal data as described in this notice.

You may withdraw your consent at any time, as described in Section 9 below. Withdrawal of consent will result in your candidature being closed and your data being processed for deletion in line with our retention schedule.

Who We Share Your Data With

We share your personal data only with parties who have a legitimate role in our recruitment process. Specifically:

Within Markivis: Members of the Markivis hiring team — including HR personnel, hiring managers, and assigned interviewers — will have access to relevant parts of your application. Compensation information you share is restricted to a small number of authorised personnel only.

Service providers: We use carefully selected third-party service providers to support our recruitment operations:

We require all service providers to protect your data with appropriate confidentiality and security measures.

Legal and regulatory authorities: Where required by law, court order, or a valid request from an authorised governmental authority.

We do not sell your personal data. We do not share it with marketing partners or use it for any commercial purpose unrelated to recruitment.

Cross-Border Data Transfer

Some of the service providers mentioned above are based outside India. When your data is processed by these providers, it may be transferred to and stored in countries outside India, including the United States. We rely on the contractual and security commitments of these providers to ensure your data remains protected, and we will comply with any restrictions notified by the Government of India under Section 16 of the DPDPA regarding cross-border transfers.

How Long We Keep Your Data

We retain your personal data only for as long as necessary for the purposes described in this notice:

After the retention period, your personal data is securely deleted from our active systems. Backup copies are overwritten in line with our backup rotation cycle (typically within 90 days of deletion from active systems).

How We Protect Your Data

We take the security of your personal data seriously. Our measures include:

While we apply reasonable security safeguards, no system can be guaranteed completely secure. In the event of a personal data breach affecting you, we will notify you and the Data Protection Board of India in accordance with the DPDPA.

Your Rights Under the DPDPA

As a Data Principal under the DPDPA, you have the following rights in relation to your personal data:

Right to information: To receive a summary of the personal data we hold about you and how it is being processed.

Right to correction and erasure: To request correction of inaccurate or incomplete data, or erasure of data that is no longer necessary for the purposes for which it was collected.

Right to grievance redressal: To raise a grievance regarding our handling of your personal data with our Grievance Officer (see Section 10).

Right to nominate: To nominate another individual to exercise your rights in the event of your death or incapacity.

Right to withdraw consent: To withdraw your consent to processing at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

To exercise any of these rights, please email privacy@markivis.com with your request. We will respond within a reasonable period and in any case within the timeframes prescribed under the DPDPA.

Changes to This Notice

We may update this notice from time to time to reflect changes in our recruitment practices, in the services we use, or in applicable law. The "Last updated" date at the top of this notice will indicate when the most recent changes were made. Material changes will be communicated to active candidates by email where reasonably possible.
